Where required by applicable law, we will obtain your consent before collecting or processing your personal information, including before placing non-essential cookies (see Section 7). By submitting information through forms on our Website, you acknowledge the practices described in this Policy.

2. Age Requirements.

Our Website is intended for business audiences. We do not knowingly collect or solicit personal information from anyone under the age of 16. If we learn that we have inadvertently collected personal information from someone under 16, we will promptly delete it. If you believe we have collected such information, please contact us at hello@ekoa.design.

3. Legal Bases for Processing.

If you are located in the European Economic Area, the United Kingdom, or Switzerland, we process your personal information only when we have a valid legal basis to do so. Depending on the circumstances, we rely on one or more of the following:

  • Contract Performance. Processing necessary to respond to your sample or quote request, fulfill an order, or take steps you request before entering into a contract.
  • Legitimate Interests. Processing necessary for our legitimate business interests, such as responding to business inquiries, improving our Website, marketing our products to business customers, and preventing fraud, provided those interests are not overridden by your rights.
  • Consent. Where you have given us clear, affirmative consent for a specific purpose, such as subscribing to our newsletter or accepting non-essential cookies. You may withdraw consent at any time.
  • Legal Obligation. Processing necessary to comply with applicable laws, regulations, or legal processes.

4. Information We Collect.

We collect the following types of personal information:

  • Contact and Business Information. Name, company name, job title or profession, email address, phone number, and business or shipping address.
  • Project and Inquiry Information. Details you share when ordering samples or requesting a quote, such as project name and location, intended application, product selections, colors, quantities, and timelines.
  • Order and Transaction Information. Samples and products requested, quotes, orders, invoices, shipping and delivery details, and warranty claims.
  • Payment Information. We do not collect credit card numbers on our Website. If you pay an invoice, your payment is handled by our bank or payment processor, and we receive only confirmation details.
  • Communications. Messages you send through our forms, emails, and records of phone calls with our team.
  • Job Application Information. If you apply for a position, your resume, work history, and other information you choose to provide.

We collect this information directly from you when you provide it, and automatically through cookies and similar technologies when you browse our Website (see Section 7).

5. Sensitive Personal Information.

We do not intentionally collect sensitive personal information, such as Social Security numbers, government ID numbers, financial account login credentials, precise geolocation, or health information. Please do not include this kind of information in forms or messages you send us. If you do, we will use it only as needed to respond to you, or we will delete it.

6. Sources of Information.

We collect personal information from the following sources:

  • Directly from You. When you fill out forms, subscribe to our newsletter, apply for a job, or contact us.
  • Automated Data Collection. Through cookies and similar technologies when you use our Website, subject to your cookie choices (see Section 7).
  • Service Providers. For example, our analytics providers (Google Analytics and HubSpot) and shipping carriers, which provide delivery status.
  • Business Partners. Sales representatives, distributors, or specifiers who refer your project to us.
  • Social Media Platforms. If you interact with our pages on LinkedIn, Instagram, or YouTube, those platforms may share limited engagement information with us under their own policies.

7. Cookies and Tracking Technologies.

We use cookies and similar technologies to operate our Website and understand how it is used. We group them into the following categories:

  • Necessary Cookies. Required for the Website to function and to remember your cookie choices. These cannot be turned off.
  • Analytics Cookies. Help us understand how visitors use the Website so we can improve it. We use Google Analytics (provided through Google Site Kit) and HubSpot analytics for this purpose. HubSpot cookies also help us connect form submissions to the right contact record.
  • Functional Cookies. Remember your settings and preferences.
  • Advertisement Cookies (Embedded YouTube Videos). We do not run advertising on or from our Website. However, our Website includes videos hosted on YouTube, a Google service. When a video loads or plays, YouTube may set cookies and similar technologies that Google uses for its own purposes, including advertising and measuring views. Because of this, our cookie banner lists YouTube under “Advertisement,” and we do not load our videos until you accept that category. Until then you will see a placeholder, and you can still watch the video directly on YouTube. Google’s use of this data is governed by its privacy policy at https://policies.google.com/privacy.

Your Cookie Choices

When you first visit our Website, a cookie banner lets you accept all cookies, reject non-essential cookies, or manage your preferences by category. Non-essential cookies are off by default and are placed only after you opt in. You can change your choices at any time by clicking “Cookie Preferences” in the Website footer. You can also block or delete cookies through your browser settings, although some parts of the Website may not work as intended.

We use Google Consent Mode, which adjusts how Google Analytics behaves based on your choices. If you decline analytics cookies, Google tools do not set analytics cookies and may send limited, cookieless signals that Google uses for aggregate modeling. You can also opt out of Google Analytics across websites with the Google Analytics Opt-out Browser Add-on at https://tools.google.com/dlpage/gaoptout.

The specific cookies we use, and how long they last, are listed in the cookie table below and in Cookie Preferences.

11. Do Not Track and Global Privacy Control (GPC).

Non-essential cookies on our Website are off by default for every visitor and are placed only if you actively accept them through our cookie banner. As a result, if your browser sends a Global Privacy Control (GPC) or Do Not Track (DNT) signal, you are not tracked by analytics or advertisement cookies unless you choose to accept them. We do not sell or share personal information, so there is no sale or sharing for a GPC signal to opt out of.

For more information about GPC, visit https://globalprivacycontrol.org.

12. Data Retention.

We keep personal information only as long as necessary for the purposes described in this Policy:

  • Customer, order, and quote records: for the length of our business relationship plus 7 years, to meet tax, accounting, warranty, and legal obligations.
